How I broke Google!!

Once again this mini disaster happened late on a Friday afternoon...seems to me that is when everything goes wrong.

Currently, I’m working on optimising the Neotechnology Business Systems’ website for search engines. This involves a lot of different little things like:

• Choosing keywords, some of ours being POS systems, point of sale, hospitality point of sale, restaurant point of sale, retail POS, fuel POS, any way am sure you get the picture.
• Including these keywords in your website content without reducing readability and relevancy – I used external contractors to rewrite much of ours!
• Filling in all the meta data for each page and the site overall.
• Increasing the links to our website and including some on ours.
• Ensuring there is new, relevant content on our website regularly.
• Listing the website on directories; and
• Including key words in the HTML title tag for a page.

There is more to add but most of this information is freely available on the web, which is where I got most of my hints and tips, although I have also done a number of workshops on the subject.

To see if these steps are working I am regularly checking Google to see where we rank on 8 specific key words. It is good to see if and how much progress the SEO (search engine optimisation) process is making. This particular Friday I was typing in a keyword eg Point of Sale, choosing pages from Australia and hitting Google Search when all of a sudden I kept getting an error which basically told me that I could not use Google anymore.

Thinking that it might be related to the words I was using I tried various non-POS related search terms and still no luck. I checked with the others in the office and Google was not working for them either. I handed the issue to our technical support team who promptly informed me that Google had blocked our IP for conduct which was against the terms and conditions of using Google. Basically Google thought we were using some sort of program to do something dodgy related to optimising our website for search engines!

We were all a little baffled by this...was I too efficient at checking our Google ranking making it look like a software program!?! Surely not!? Or was it one of the little applications I had downloaded to track certain keywords?!? We never did find out for certain...Google was up and working fine when we got into the office on Monday morning!

I have learned now that there are actually software products you can use to check the ranking of your website against specific keywords.

Baffled by stocktake business process by one of Australia’s largest retailers!

Since starting at Neotechnology I have really been sold on the fact that all businesses should have a great point of sale system. Of course one would hope that this is the case since our core focus is on Amicus, our flagship point of sale and business management software product!! I now have an in-depth understanding of the benefits of POS software and how it can aid businesses processes and make them much much quicker.

So, I was completely taken by surprise when I was told that one of Australia’s largest retailers still does their stocktake by hand. Ie employees walking around, counting items and then writing this down using a clipboard/pen etc. Followed by different employees entering this information into their point of sale system after everything had been counted. I’m really baffled by this as it seems to be a massive doubling up of work, especially considering this is not just one or two stores but dozens. It takes over 3 – 4 weeks in one State (the smallest State I might add) apparently!

They have PDAs which they use for prices checks, reordering and a variety of other functions. Why are these not utilised for the lengthy stocktake process!?! I guess they must have their reasons and/or completed cost-benefit analysis which favours the pen and paper method, although I find this hard to believe.

Reasons that I can think of off the top of my head include:

• Staff training in PDA use – easily overcome by an easy to use intuitive software and training carried out along with the POS training.
• Cost of the actual devices themselves – easily covered by the reduction in staff members required to carry out the stocktake and the considerable reduction in length of the whole stocktake process.
• Lack of trust in staff – ie if they are provided with a stock at hand number once they scan an item they just say yes instead of counting, overcome by not displaying expected stock at hand.
• Lack of faith in their own software – they should review the point of sale system they are using and potentially upgrade to a better system.
• Stuck in old business processes – adequate change management would help with this.

This organisation has their own in-house IT department, which I presume also built their custom POS interface, unless they outsourced the development to India which I suspect is highly likely.

If anyone can shed any light on why this would be the case I would love to hear it!

Developing a channel partner network for Amicus, point of sale and business management system!

Since starting at Neotechnology in February I have worked on many different projects, wearing many different hats. One of the biggest long-term projects/on-going tasks has been to develope a channel partner network to resell out software product Amicus POS (point of sale and business management system). Following, a one day ‘Dynamic Channel Management’ workshop by Channel Dynamics, I wrote up a brief plan/strategy for developing a network of Amicus Authorised Partners, which included:

• Our goals
• Ideal partner profile
• Partner program (to attract partners
• Steps to get partners – cold calling and partner registrations process at trade shows like CeBIT 2009 (and again in 2010)

Steps taken to get partners on board have included:

• Obtaining a list of businesses to call – I created our own using data entry people from Odesk. I indicated specific sites where contacts were listed (publicly available) and had the information entered into a spreadsheet, which was then uploaded into our CRM (Info@hand). Leads were also generated through business partners.
• Developing scripts for cold calling – often adjusted after feedback from our telemarketer following the first 5 calls – initial strategies to get people to talk to us included inviting businesses to CeBIT (free entry via ‘pretty’ html email supplied by CeBIT) and brief surveys about their current POS software.
• Developing a process to follow within the CRM in order to capture the data required and also make it easy to manage the follow up calls, meeting etc.
• Developing a follow up process for cold calls and also CeBIT leads.
• Creation of partner packages (both hardcopy and email) to send to buinesses.
• Organisation and attendance at meetings with potential partners at their place of business.
• Meeting follow up – sending out partner qualification forms.
• Getting partnership agreements signed – follow up via email and telephone.
• Development of a training program – including course outlines, hardcopy training guides and training feedback forms.
• Creating marketing material – banners, brochures and providing advice as required.
• Organising training course schedules in order for partners to be trained in groups.
• Providing technical, marketing and sales support.
• Making as much information available via our partner portal.

Now I have made it sound like there were many, but simple steps to follow and then you have a partner network; this is not really the case. It really is a learning process to determine the type of businesses you want to represent your company, as well as finding those with the right technical capabilities. Sometimes you cannot tell if a business is suitable until you have met employees/management and seen their place of business. Suitable partners will vary depending a lot on your product. When Neotechnology launches the new product we have in the pipeline, although the same planning process will be followed, it does not necessarily mean that all partners we have already will be best suited to reselling this new product. We will see!

Developing a reseller network is not without its issues either, one that I am currently experiencing is how best to manage channel conflict. By this I mean having a number of partners in the same area who may cross over in regards to the businesses they contact and also when we get leads (through our website) who do we pass them onto and/or which leads do we want to service ourselves since we are still doing direct sales as well. Understanding exactly what the conflict is and developing ways to manage this is crucial.

At the moment I am developing a partner etiquette policy in regards to leads and will also write a document which explains our policy in regards to passing on leads and also direct sales. The most important thing being that everyone understands what the policy is, keeping communication lines open and creating room for dialogue is essential in my opinion. At the same time developing some sort of leads register is also something I am looking into.

Point of Sale Software – Streamlining Sales For Bigger Bucks

Are you struggling to maintain a viable business operation with an outdated cash register or POS software system?

Point of sale (POS) software is possibly one of the best investments you can make in your business success. Full featured POS software will virtually run your entire business operation from your desktop.

Point of sale software systems benefit your sales process by providing you with a range of reporting features, plus a number of other specialised services which streamline your inventory, ordering, staff, customer information, transaction and accounting processes.

The analysed data can be tailored to suit your business needs, so let’s look at some of the reporting features which will help improve your sales and overall performance figures, and therefore the bottom line of your business:

• A detailed report breaks down the number of products you have sold; statistics can include sales for today, last week or over the past month. By analysing which products are generating most sales, it’s easier to focus your attention on margins, sales trends, forecasting, revenue and inventory.
• The detailed reporting summaries can tell you at any time how much of a particular product you have on hand (and in what colours, sizes or varieties), how much you have in the cash drawer in sales plus float, and how much of that cash is profit.
• A POS software system effectively reduces shrinkage (items that are lost from the shelves due to theft, waste or being out of date) because the software enables you to keep track of every item.
• POS software helps you to see when a particular stock item is running low so you can promptly re-order.
• The POS sales interface integrates the entire sales process, including EFTPOS or cash, so only one transaction is required. The point of sale processing system will handle cash, cheque and credit card purchases quickly and easily as well as process lay-by transactions, special offers, discounted items and gift certificates.
• POS software operates with either keyboard or touch screen access and a bar code scanner, which reduces staff errors or incorrect pricing as product prices are already stored in the system.
• Not only does a POS system reduce human error, it dramatically improves transaction processing times and the overall customer experience. And faster transaction processing means you can service your customers more effectively.
• You can maintain data on your customers – including their email address - and their regular purchases. This information enables you to take a proactive, targeted approach in your sales and marketing campaigns.
• Point of sale software can manage and support one retail site or a number of sites from a centralised location.

This functionality enables management to oversee all their operations from a remote location. By integrating the features of a POS software system, business owners or managers can apply a common set of rules and procedure across a range of outlets.

The benefits of maintaining a centralised POS system for a number of outlets include increased overall productivity and ease of management as well as providing customers with the security and satisfaction of knowing they can expect the same high level of service and range of products they’ve come to expect from your business no matter which outlet or store they visit.

Supermarket POS – From Dreary To Deal

One of the very best investments you can make in your independent supermarket business is a state-of-the-art supermarket POS system.

But state-of-the-art doesn’t necessarily mean over-the-top-ridiculously-expensive; it simply means ensuring you get a point of sale software system that is specifically designed for your particular market segment and has all the features and functionality required to take your supermarket or grocery store from ordinary to extraordinary.

So, whether you are considering the purchase of a supermarket business or already have one or a chain of supermarkets and you are thinking of upgrading your system, let’s look at some of the amazing benefits you and your business will gain with the technological advantages of a supermarket POS system.

Your business would quickly have to put up the shutters without a steady and loyal customer base; probably more so than any other business, a supermarket relies on regular customers who know the staff by name and also know in which aisle they are bound to find the household supplies they are looking for.

As a manager or staff member, wouldn’t it feel wonderful if you could scrap the incessant paper shuffling and pen pushing to focus more of your attention on satisfying the needs of new and existing customers?

That’s the beauty of a supermarket point of sale system; it takes care of the paperwork and processing so you can take care of your customers!

And what’s more, with additional time on your hands you can focus more energy on improving and expanding your business.

A supermarket POS system enables you to input the prices for every item in your store. Sure, that’s a time consuming process when you first start out, although importing all your product data all at once, including prices is often possible. Once the products are in, changing prices is about all you need to do. Some suppliers even provide this information in a file which is easily imported into your POS system, eliminating the need to do this manually.

A computerised monitor and barcode scanner at the checkout reads the prices, records the details and the price of each item on the shopper docket, includes any special discounts or two-for-one offers and then tallies up the total.

Your customer can view each item as it’s scanned in the system on the customer display screen and then has the choice of payment via cash, cheque or credit/debit cards. The POS software completes the transaction and your customer leaves happy and satisfied. Not only that, your checkout staff don’t have to worry about trying to calculate discounts or changing prices for multi-buys – all those tedious tasks are handled by the POS system.

Supermarket POS in the Back Office

Let’s face it: one of the most laborious tasks for supermarket owners and managers is trying to keep track of stock, invoicing, suppliers, accounts, inventory and re-ordering.

A supermarket point of sale software system handles all the paperwork online. It will track each and every sale of a particular item as it passes through the checkout, so with a few clicks of the mouse you can view the quantity sold and quantity still in stock for all your products. You can view your stock-at-hand and see when stock is running low and reorder as needed.

Once you have confirmed the re-order list, you can email or fax the order to your supplier, or the software can electronically message your suppliers for fresh stock, if you have the correct supplier integration. This functionality applies whether you have one store or one hundred stores.

The point of sale system can also display a range of data to help you manage and improve margins and profit levels. For example, you can view data on the most profitable and popular brand of baby nappies so you can forward-plan accordingly. It can show you how many products were sold today, last week or last month.

With the ‘multi-buy’ pricing feature, you can easily set up in-store discount promotions or a ‘buy one get one free’ offer.

In addition, you can group your customers into different segments so that special discounts will automatically apply for, say, seniors or your ‘regulars’.

A supermarket POS system reduces the day-to-day menial paperwork, leaving you free to focus on the more important things. What’s more, it creates a positive and reassuring experience for your customers as well as promoting a less stressful experience for your staff. And isn’t that a win-win-win situation for everyone?

Point of Sale Systems – How To Have Great POS-Ture

A point of sale (POS) software system can revolutionise the way in which your business operates – from improving sales targets to creating a more positive customer experience to simplifying the labour-intensive process of inventory records and stock re-ordering.

A POS system virtually recreates your entire business environment online where you can view every aspect of your operation with a couple of mouse-clicks. No more pen pushing or paper shuffling – every piece of data you could possibly need to operate your business effectively and successfully is available immediately, and without the hassle.

Point of sale systems can be fully customised to your specific needs, so you have the power to take your business from the ordinary to the extraordinary – no more excuses!

Like all computer related products, point of sale systems range from simple cash register and sales processing equipment to state of the art systems that produce spectacularly intricate reporting and analysis features.

So let’s take a closer look at just a few of the features of a POS application so you can see for yourself what a remarkable improvement this software can make to your business.

Sales Processing

The POS sales processing system includes the cash drawer, which handles cash and cheque payments plus all types of EFTPOS transactions including credit cards and reward cards.

Point of sale monitors are frequently touch-screen, with large buttons or icons for individual products, or they can be integrated with a keyboard and/or a bar code scanner.

The beauty of POS sales processing is that prices and codes are pre-programmed into the system, so errors are reduced and discounts or special offers occur automatically and are factored into the shopper’s docket.

The flexibility of the pricing system means that products can be adjusted from a central location and sent to all POS monitors across a number of stores.

Product Management

Point of sale systems enable management to control all aspects of their product range, so every item can be individually monitored. As an example, your POS software will display which brand of baby nappies are most popular, so margins on all baby nappies can be adjusted to suit your profitability parameters.

Stock Control & Invoicing

No more late night stocktakes if you have point of sale software. Your POS system can define the number of items sold and the quantity remaining as well as indicate when stocks are low, making re-ordering a breeze.

Customised reports relating to all facets of stock control can be integrated into the system to meet your business needs.

Supplier accounts and management can be time consuming and labour intensive, but integrated POS software systems eliminate all the unnecessary filing and paperwork.

Supplier information is maintained in the system and can be easily updated. Any changes to the supplier’s prices are noted so that adjustments to your product prices can be handled efficiently.

Customer Management

Business owners and managers agree that customers who know and trust you are likely to return time and time again. Understanding your customers’ needs and taking a proactive approach to servicing those needs is one of the key factors that differentiate an ordinary business from an extraordinary one.

Not only does the ease and flexibility of the POS sales process enhance your customers’ experience, the powerful management features take that experience one step further.

Advanced point of sale systems will provide data on your customers’ spending habits and preferred products so you can cater to their individual needs. You may also want to record email addresses for future sales and marketing campaigns and then group your emails according to the buying trends of your customer base.

Whether you own an independent grocery store, hardware store, retail outlet, fuel outlet or restaurant, point of sale systems elevate your business to the next level.

Not only does a POS software system enhance your customers’ experience, it also improves staff performance and morale, as well as easing the burden of management, and that has to be a good thing for everyone.

Restaurant POS – A Recipe For Success

Anyone who has worked in the hospitality industry knows that the demands required to deliver quality food in a timely fashion by courteous and efficient staff could test the skills and serenity of a Zen master!

So many factors come into play at the same time and need to be handled with such precision that many busy restaurant owners compare the experience to plate twirlers, who manage to twirl multiple plates on narrow bamboo poles all at the same time.

Restaurant point of sale software systems can be customised to work with the same levels of excellence and efficiency whether it be in high-end restaurants, takeaways, fast food outlets, hotel/café facilities or pick up/delivery services.

A typical restaurant POS setup would include a centrally located touch screen monitor for inputing orders, at least one cashier station with a cash drawer, receipt printer, and credit card reader / EFTPOS.

So let’s have a look at a hectic restaurant scenario where the owners have introduced a state of the art restaurant POS system:

A party of 6, who have previously made a reservation, arrive at 7:30pm for dinner. They decide to have pre-dinner cocktails at the bar and each gives his order to the bar staff. The cocktail waitress adds the drinks to the touch screen monitor where the orders are assigned to a table number

Following their cocktails the diners adjourn to their table, which is displayed on the central monitor. After their orders have been taken, and diners assigned seat numbers, each diner’schoices are immediately input via a quick and easy display system which sends the meal orders direct to the kitchen and the drink orders direct to the bar.

The restaurant point of sale system identifies the entrees, so they appear on the kitchen’s easy to read monitor first or are printed out on the kitchen printer. Main courses will appear on-screen at a pre-set time following the entrees, or printed out when called.

When the chefs have completed the entrees, the waiting staff are notified via the POS system and each meal is delivered in accordance with the assigned seating numbers.

During the course of the meal, the guests order additional bottles of wine, which are logged into the system and sent directly to the bar.

Meantime, the main courses have been prepared and are ready to be served following a break after the entrees. Once again, the waiting staff know which diner has ordered which meal and the fresh, piping hot meals are served.

Following the meal, the delighted diners order coffee and liqueurs. The coffee orders are sent to the barista and liqueurs to the bar staff.

As the evening draws to a close, each of the three couples asks to have an individual bill, which the restaurant POS system handles seamlessly. Each bill displays an itemised readout of the drinks, meals, coffees and liqueurs served to the couples, reducing the risk of errors or incorrect tabs.

Payments are made with ease on the EFTPOS/credit card reader at the waiter’s station and the guests depart –- delighted with the quality of the meal and the fast, efficient service provided by management and staff.

From a management perspective, automating the many and various tasks required by floor staff means they are able to focus on great customer service and making their guests feel that their every wish is being met promptly and with a smile.

Kitchen staff also find a restaurant point of sale system advantageous because quickly scrawled meal orders can’t be misread, the system enables them to keep track of all orders, what time they were processed, which orders are to be delivered when, as well as any special requests.

The main ingredients for a successful restaurant, café, casual eatery or fast food outlet are all included in a dedicated restaurant POS system, resulting in stress-free management, happy staff and contented customers. Indeed, a recipe for success!

3 Ways Your Point of Sale Software Can Help You Increase Sales

It’s no secret that having well integrated point of sale software is a key to not only increase your sales, but also make your customers happy. You can train your sales staff in the latest techniques of closing a sale and there is no doubt that ongoing staff training can play a big part in the success of your business. But sometimes some simple point of sale questions can lift your sales to new heights, and you can use your software to help you do this.

Let’s take a look at three things you can do to increase your overall sales.

Add-On Products. Once a customer has arrived at the terminal to complete a purchase, you can utilise the custom element of your software to prompt the sales staff to ask a few pertinent questions relating to the particular purchase. You can relate this from your own experiences when you recall how many times you have been asked by a McDonald’s sales assistant ‘’ would you like fries with that?’’. The question is asked because McDonald’s knows that this simple technique can increase sales phenomenally. The latest research shows that if they were to change their question to ‘would you like large fries with that or just the medium-size’’? will result in an even higher level of sales. The point is that the question must be asked, and by asking questions to generate interest in associated products at point of sale can be a very effective tool.

Product Lifelines. When a customer purchases a product that is likely to be consumed within a short timeframe, you have a great opportunity to make add-on sales by offering a discount for bulk orders. For example, say your customer is purchasing an item which is likely to be consumed within three or four weeks. The sales staff could be prompted to ask something like this ‘’ would you like to take advantage of our discount offer where you can have three of this product for the price of two’’? A simple sales script like this at the point of sale could result in a doubling of sales for that product with little or no extra effort.

Customer Satisfaction. How many times have you arrived home with a product only to discover that you needed another vital add-on? For instance, I once purchased a set of flippers so I could try out my skills at body surfing. I chose a particularly unusual style of flipper mainly because I liked the design and I couldn’t wait to get to the beach to try them out. When I got there I had great difficulty slipping onto my feet and spent several minutes pulling in twisting them until I finally got them on. I discovered later that I could have purchased a slip on gel to apply at the surface of the flipper which were made putting on quicker and easier. Naturally, I had to go back to the store to purchase this but I was quite annoyed and decided to make my purchase elsewhere. If I had been asked the question all given advice about the gel when I bought the flippers I would have been a much happier customer.

Who would have thought that using a simple set of sales scripts could make such a difference? Using your POS software in this way can have a dramatic impact on your bottom line.

3 Ways You Can Use Your Point of Sale Software to Improve Customer Loyalty

Here's a secret that may surprise you: it takes five times more to attract a new customer than it does to sell something new to an existing customer. Did you know that you can use your point of sale software to improve your customer loyalty and your bottom line at the same time?

Your customers are creatures of habit, they love shopping at the same shop when they feel that their needs are being met and when they are being properly looked after. They actually like to be treated as if they are special even when they know you are only after their money.

POS software offers you unprecedented opportunities to gather information about your customers spending patterns and personal details like birthdays and income levels. You can use this information in a variety of ways to make your customer feel that they are being noticed and listened to.

So, with that in mind, here are four things you can do with your point-of-sale software to maximise your customer loyalty, decrease your advertising costs and make more money every month.

Spending Patterns. You can perform a really simple analysis on every customer you have on your database to discover the items that they are purchasing most often. Can you imagine how they will feel if you write them a personalised letter which offers them a discount on a bulk purchase of their favourite item? It doesn’t take much to create a heightened level of loyalty when a customer feels that the retailer has actually noticed something about them. It adds a personalised element that many retailers ignore.

Personal Information. What do you do with your customers personal details? It may seem trite to consider that a birthday card could be seen as anything more than an impersonal gesture. But what if you were to offer a special gift, even a sample of something that you know this customer particularly likes? Even better, what if you offer them a discount or a two for one offer so they can send a gift to a friend or family member? Using the information you have gathered like birthdays can be used in a productive way that benefits not just you but the customer as well.

VIP Cards. Why not treat your customer to an elevated status by offering them a VIP card once they reach a certain spending level. You could make the offer shortly after they have established a spending pattern and encourage them to keep on spending until they reach a certain level after which they will get access to discounts and special previews of new products that you know they will like. Belonging to an exclusive club is an excellent way of generating interest in your store whilst at the same time increasing customer loyalty.

Let’s face it; customers are used to being treated like numbers by most retail outlets around town.

But by using your POS software you have a wonderful opportunity to take your customers to a new level of loyalty, meaning you can not only add to your bottom line but give something back to your customers who after all are the reason for being in business in the first place.

7 Point of Sales SoftwareTips to Improve Inventory Control

Inventory control is vital for any business, particularly in retail and wholesale industries. Knowing when to reorder so you can meet ongoing customer demand was once left to guess work on the part of the owner. But these days, thankfully, point of sale software can give you all the information you need to make the best judgement call.

Not only that, but by maintaining a strict control over this process you can automate your entire inventory control strategy to ensure that your cash flow is maximised to your benefit, rather than your detriment.

Here are seven tips you can neutralise to improve your inventory control too.

Analyse Your Sales. When you know what your customers are ordering on a regular basis you have a clear indication of what items to stock. Use these numbers to set your reordering levels and check the trends every day.

Automatic Purchases. Usual software to automatically produce purchase orders when stock level alerts are generated. This way the purchase orders can be sent or transmitted to your suppliers immediately.

Special Orders. Your point-of-sale software can be used to track special orders that fall outside your automatic system. Set up a reminder to check the status of special orders every day.

Track Lost Sales. Make sure that you record each time a customer declines to proceed with the sale because you don’t have sufficient stock. This will alert you to the need to adjust your reorder levels.

Track Your Top Sellers. Your bestselling items are your bread and butter, so you want to make sure of two things. First, that you have sufficient stock. But, secondly and perhaps more importantly, you do not have too much stock. By holding too much inventory in one particular item you are locking up your cash, so make sure that you reorder only as regularly as you need to by maintaining minimum stock.

Check Stock Receipts. Make sure your warehouse staff check each receipt against the purchase order. Businesses that automatically assume that the correct product has been shipped to them are making a big mistake. Before entering a stock receipt into the system, if you sure that it is completely accurate and in accordance with your purchase order.

Make Seasonal Adjustments. Many stock items will have sales trends that follow seasonal patterns. Nobody wants to stock overcoats during summer! Your POS software can be used to highlight spending patterns on items during different seasons or times of the year, so you can easily stay on top of your stock levels and order in advance of your anticipated seasonal needs.

There are many more ways that you will find the usual point of sale software to keep track of your inventory because each business has its own individual idiosyncrasies. The amount of data you have at your fingertips will label you to keep control of your cash loss at the same time ensuring that you will be able to anticipate the spending patterns of your customers.
